DescriptionHoneywell is currently hiring an experienced a Lead Executive Administrator who will provide administrative and organizational support to Honeywell Aerospace’s Deputy General Counsel, who is responsible for Compliance, Litigation, Intellectual Property and ESG, located in Charlotte, North Carolina.
In this role, you will operate in a very fast-paced environment interacting daily with internal employees at all levels of the organization, external customers, governmental regulators, law firms among others. This role will plan domestic and international travel, coordinate multiple busy calendars, ensure complex meetings are planned effectively, and carry out other key administrative business processes. The ideal candidate will function with a high sense of urgency, resourcefulness, and be able to effectively prioritize competing priorities while maintaining strict confidentiality.
Responsibilities Key duties include:
- Managing the calendar and operating system with professionalism, sound judgment, and utmost discretion to prioritize and organize time effectively.
- Planning and coordinating in person and virtual meetings across multiple time zones, including scheduling, securing venues, managing invites, and preparing all necessary materials.
- Collaborating closely and professionally with fellow C-Suite administrators, such as those of the General Counsel, CEO, CFO and Chief Technology Officer among others.
- Arranging complex travel itineraries and forecasts for both domestic and international trips.
- Coordinating onsite meetings (including team-wide meetings) for guests and welcoming scheduled visitors.
- Managing intricate expense and purchasing reports, as well as preparing additional miscellaneous reports and logs, and responding to general information requests.
- Overseeing invoice processing and supply ordering.
- Performing office management duties including file maintenance and managing incoming and outgoing correspondence.
- Preparation and editing of Powerpoint Presentation, including design and layout, data visualization, content and graphic creation from templates, quality control and file management.
QualificationsMust Haves:
- At least five years of experience providing administrative support to Senior Executives.
- Demonstrated experience scheduling appointments, updating calendars and coordinating global travel
- Proficient computer skills including mastery of Microsoft Office Suite (Word, PowerPoint, Excel, and Office 365)
