Description

We are looking for someone who is organized, dependable, and detail-oriented to provide administrative support to our engineering teams and office operations.


This role is ideal for someone who takes pride in staying organized, following established processes, and supporting multiple team members in a fast-paced environment. You will help ensure that scheduling, correspondence, documentation, and office workflows are handled accurately and efficiently.


Our projects may involve complex engineering systems, but behind every successful project is strong administrative support and reliable coordination. Engineers and project managers depend on clear communication, organized information, and consistent follow-through to deliver high-quality work.

Requirements

WHAT YOU CAN DO FOR SUMMER CONSULTANTS


Administrative and Office Support

  • Answer phones and handle general office correspondence
  • Serve as an administrative point of contact for the office
  • Collect, sort, stamp, and distribute USPS mail and other incoming packages
  • Send outgoing packages via mail, UPS, or courier
  • Coordinate conference rooms, meeting scheduling, and office logistics
  • Reserve conference space for meetings and internal events
  • Maintain visitor sign-in records and greet office visitors
  • Maintain office supplies, equipment, and vendor coordination
  • Execute office supply ordering and inventory
  • Request building maintenance and other routine office service needs as needed
  • Order lunch for small in-office meetings and support routine meeting logistics

Staff and Team Support

  • Provide administrative support to engineers, project managers, and office leadership
  • Assist with scheduling, meeting coordination, and calendar support
  • Prepare, format, and edit routine correspondence, reports, and small documents as requested
  • Help ensure documents are complete, organized, and properly formatted

Document and Filing Support

  • Assist with assembling document packages for internal and client use
  • Send small documents to outside printing vendors for reproduction
  • Maintain organized records and filing systems for office and project documents
  • Assist with updating certificates of insurance and requesting COIs within established processes.

Administrative Coordination

  • Support preparation of routine reports, forms, and documentation
  • Update administrative tracking tools and internal office records
  • Coordinate routine administrative activities across teams as needed
  • Assign office key fobs and parking passes for new employees using established systems and procedures

Workflow Support

  • Follow established administrative processes and procedures
  • Help ensure tasks are completed accurately and on time
  • Provide consistent support to help office and team workflows run smoothly
  • Manage routine administrative follow-through so information, materials, and requests move forward in an organized and timely way

WHAT YOU SHOULD BRING WITH YOU

  • Minimum two (2) years of administrative experience required; three (3) years preferred. Bachelor’s degree may be considered in lieu of some experience.
  • Experience in a professional services environment preferred
  • Strong organizational skills and attention to detail
  • Ability to follow established processes and complete tasks accurately
  • Professional communication skills with team members and clients
  • Ability to support multiple staff members and manage competing priorities
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Ability to work in office five (5) days per week
Salary Description
$24.00 to $26.00 per hour
