Position Summary

The Administrative Assistant plays a critical role in managing the Chief Growth Officer’s daily workflow, communication, and priorities. This position requires exceptional organization, professionalism, and meticulous attention to detail to ensure seamless coordination between departments, meetings, and travel schedules. 


Key Responsibilities

  • Manage the Chief Growth Officer’s complex calendar and coordinate internal, external, and cross-department meetings using Outlook for optimal scheduling and time management.
  • Prepare and proofread executive correspondence, reports, and presentations; serve as the primary point of contact and gatekeeper for the CGO, handling calls, emails, and confidential communications with professionalism.
  • Support meetings by preparing agendas and materials, uploading notes and action items, distributing concise post-meeting recaps outlining clear deadlines and responsibilities, and anticipating executive needs for seamless execution.
  • Drive project support by tracking deliverables, coordinating timelines, assisting with accurate data entry and Excel updates, supporting technology updates, and other operational tasks as required.
  • Plan and manage intricate travel arrangements, including flights, accommodations, ground transport, and meeting itineraries, ensuring all supporting materials and documentation are accurate and accessible.
  • Handle confidential assignments and sensitive communications with the utmost discretion and integrity; review and process expense and personnel documents, invoices, and receipts as delegated.
  • Lead recognition initiatives for executive milestones, team appreciation, and special communications.
  • Support the Operations Manager with departmental projects as needed. 
Requirements

  

Must-Have Qualifications

Background and Education:

  • High school diploma required, higher education preferred 
  • 2-5 years’ professional administrative support experience in a fast-paced environment 
  • High levels of professionalism in communication, both written and verbal 

Technology Expertise:

  • Microsoft Office: Excel, Outlook, Dynamics 
  • Google Drive / Shared Folders: Document organization
  • Zoom + Microsoft Teams: Virtual meetings

Physical & Work Environment Requirements

  • Ability to work for extended periods at a desk using a computer.
  • Ability to lift up to 10 pounds if/when necessary.
  • Routine use of telephone and email.
