Position Summary

The Administrative Assistant assists the department chair, faculty, staff, and students in the Department of Engineering and Technology with clerical and administrative duties in order to effectively deliver the academic programs to students.

Duties & Responsibilities

  • Demonstrate dedication to job performance and complete tasks as assigned
  • Accept direction and guidance from supervisory personnel
  • Adhere to work schedule
  • Provide administrative support for all programs within the Department of Engineering and Technology; assist the department chair, faculty, and staff in the department;
  • Provide initial contact between the department and customers (students, faculty, staff and general public) by answering phones, answering questions, taking messages, greeting visitors, and distributing general information regarding programs and courses; direct visitors to the appropriate personnel; relay messages to appropriate personnel;
  • Perform general office duties, i.e., compose letters, proof, type, duplicate and distribute correspondence, and answer routine questions;
  • Operate office machines as needed in performance of duties, including personal computer, printer, copier, fax machine, binding machine, etc.;
  • Maintain minutes and files for department meetings, and other meetings such as curriculum meetings, external advisory committee meetings etc.;
  • Assist with inventory of department supplies and equipment, prepare purchase requests, and prepare forms necessary for departmental administrative support;
  • Assist in monitoring and reconciling departmental budgets, including grant budgets, through the use of ordering system, tracking purchase requisitions, purchase orders, shipping documents, invoices, bookstore purchases, and other financial documents;
  • Manage calendars, and make meeting arrangements, travel, and reimbursement requests;
  • Assist faculty with textbook adoptions, and request, order, and follow-up on Instructors Desk Copies from Publishers;
  • Assist students with registration activities using Banner;
  • Ensure classroom cleanliness, and prepare work orders for facilities and IT department for classroom/office furniture, equipment etc.;
  • Complete assignments requiring the collection and organization of data, set up and maintain student files, graduation records, etc.;
  • Coordinate events at the department and college level;
  • Learn new computer applications as required;
  • Maintain regular attendance;
  • Perform other related duties as appropriate or required

MINIMUM JOB REQUIREMENTS: 

High School Diploma or GED.  Three (3) years general clerical secretarial experience.

PREFERRED QUALIFICATIONS: 

  • Associate degree
  • Experience as an Administrative Assistant

KNOWLEDGE, SKILLS, and ABILITIES:

  • Knowledge and proficiency in MS Windows and MS Office including Word, Excel, PowerPoint, and Adobe Acrobat;
  • Ability to provide exceptional customer service;
  • Knowledge of supplies, equipment, and/or services ordering;
  • Organizing and coordinating skills;
  • Ability to create, compose, and edit written materials;
  • Ability to perform simple accounting procedures;
  • Skill in the use of operating office equipment;
  • Ability to understand and follow specific instructions and procedures;
  • Ability to communicate effectively, both orally and in writing;
  • Records maintenance skills;
  • Ability to maintain confidentiality of records and information;

PHYSICAL DEMANDS:

  • Limited physical effort required;
  • Occasional lifting up to 25 pounds;
  • No or very limited exposure to physical risk.
