About the role:

We are currently seeking an Administrative Assistant – PMO to provide administrative, coordination, and operational support to the Project Management Office (PMO) and to ensure consistent execution of PMO governance, reporting, and documentation standards. This role supports project managers, and PMO leadership by maintaining project records, coordinating meetings, tracking action items, and supporting portfolio-level administration within a regulated financial institution environment.

Requirements

Essential Functions & Responsibilities:

  • Provide administrative support to PMO leadership and project teams, including scheduling meetings, preparing agendas, and coordinating logistics.
  • Maintain PMO project documentation repositories, ensuring accuracy, version control, and compliance with established PMO standards.
  • Track and follow up on action items, decisions, risks, and issues identified during project and governance meetings.
  • Prepare and distribute standard PMO reports, dashboards, and meeting materials using approved templates and tools.
  • Support portfolio administration activities, including maintaining project intake logs, status trackers, and milestone calendars.
  • Assist with onboarding new projects into the PMO by ensuring required documentation is complete and properly archived.
  • Coordinate communication between Business Units (BUs), vendors, and the PMO as directed.
  • Support audit and compliance activities by retrieving documentation and maintaining organized project records.
  • Ensure adherence to PMO governance processes, documentation standards, and administrative controls. 


Qualifications:

  • Three years to five years of similar or related experience.
  • (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.

Pay: $50,000 to $60,000 annually depending on experience and qualifications.
