Schedule: Monday-Friday 8:30am-5:00pm

FLSA Status: Exempt, Full-time


Summary: The Department of Catholic Schools of the Archdiocese of San Antonio is seeking a dynamic, mission driven and detail-oriented Associate Director of School Finance to serve the ministry of Catholic education by supporting the financial operations of a network of schools. This role is responsible for budgeting support, financial reporting and accounting coordination across multiple campuses, ensuring accurate, consistent, and mission-aligned stewardship of resources.

Working in collaboration with pastors, principals, school finance committees and Department of Catholic School leadership, the Associate Director of School Finance helps ensure that financial practices reflect both sound business principles and alignment with compliance of accreditation standards. This position serves as the primary financial resource for the school network and partners closely with other Business Operations staff within the department. This role is well-suited for a finance professional who views their work as a form of service to the Church and contributes to the sustainability and vitality of Catholic schools. 

Requirements

Position Responsibilities:


Budgeting & Financial Management

  • * Assist in the development and monitoring of school-level budgets in alignment with mission priorities
  • * Create and maintain cohesive budget and pro-forma templates to support a 3-year forecasting model
  • * Track budget performance and provide variance analysis to support responsible stewardship
  • * Provide guidance and training on budgeting processes and forecasting models in the spirit of service
  • * Consolidate financial data across multiple schools for clear and consistent reporting

Accounting & Financial Operations

  • * Support core accounting functions, including payable/receivable, payroll coordination, and general ledger activities
  • * Ensure timely and accurate monthly financial reporting to include financial health forecasting and cash flows
  • * Maintain organized and compliant financial records 

Reporting & Compliance

  • * Prepare regular financial reports for Department of Catholic School leadership and for pastors & school administrators as needed
  • * Assist with annual assessments and ensure adherence to financial procedures and accreditation standards
  • * Help maintain internal controls and promote accountability across schools

School Support & Collaboration

  • * Serve as a trusted financial resource to principals, school staff and finance committee members
  • * Partner with pastors and parish staff as needed to support school financial operations
  • * Provide guidance with building and assessing salary scales at all levels
  • Coordinate with parish and other Archdiocesan lines of business as needed

Tuition & Revenue Support

  • Assist with tuition setting models, tracking, billing processes, and TEFA compliance
  • Support analysis of enrollment and revenue trends
  • Support efforts to balance financial sustainability with accessibility for families

Mission Alignment

  • Support the mission of Catholic education in communion with the teaching of the Catholic Church
  • Promote a spirit of stewardship and accessibility in service to students and families
  • Contribute to a faith-filled work environment centered in collaborative relationships

Other:

  •  Assist with developing and maintaining key financial and operational metrics (e.g., tuition collection rates, budget to actual variances, enrollment-related revenue trends and enrollment retentions).
  • *Produce regular KPI reports to support school and department leadership in monitoring financial health.
  • *Identify trends and potential risks or areas of improvement, escalating insights as needed.
  • Support a culture of date-informed decision making while ensuring metrics reflect the mission and priorities of Catholic education.
  • Assist in the development of a School Finance Committee training program.
  • Assist with developing a formal tuition collection process.
  • Assists schools with the Texas Education Savings Accounts compliance requirements.
  • Maintain current knowledge of organizational policies and procedures, federal and state policies and directives, and current accounting standards, as well as proposed legislation impacting school operational vitality and inform the Superintendent and Associate Superintendent of significant developments in these areas.  
  • Develop and maintain a positive and professional working relationship with parents, school administration and cohorts, including the local, state and national level.  
  • Maintain open lines of communication and cooperative working relationships. 
  • Adhere to safety training and protocols daily and take precautionary measure to ensure the safety and well-being of self, others.    
  • Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information. 
  • Adherence to the Code of Conduct and the Faith and Moral Policy is mandatory.

Minimum Qualifications: 

Education:

  • Bachelor’s degree in Accounting or Finance

Experience:

  • 7-10 years of experience in all processes of accounting, finance and budgeting
  • Experience in Catholic schools, parish settings or other Church ministries preferred.

License and Credentials:

  • Reliable transportation
  • Valid driver license
  • Valid vehicle insurance

Minimum Knowledge and Skills: 

  • Proven ability to complete, or oversee the completion of, all reports and analytical data required by the Archdiocese and the Department of Catholic Schools using time management skills to meet strict deadlines. 
  • Must have integrity, discretion, and strong sense of accountability.
  • Familiarity with tuition-based financial models.
  • Strong skills in Excel and other Microsoft applications.
  • Previous experience using FACTS system preferred.
  • Must be detailed oriented, organized, self-motivated, work well independently and on a team.
  • Must have excellent communication (oral and written) and interpersonal skills for presentations and public speaking occasions.
  • Service-oriented mindset grounded in respect and professionalism.
  • Spanish bilingual proficiency preferred.
  • Must have strong analytical, critical thinking and problem-solving skills. 
  • Must maintain confidentiality. 

Travel Requirements: Travel requirements for the position include up to 50% local and less than 1% overnight stays.
