Dykema Gossett, PLLC, a leading national law firm celebrating its 100th anniversary in 2026, is recruiting for an experienced Litigation Administrative Assistant, specifically in Labor & Employment and Business practice groups, to provide high-level support to attorneys, paralegals and clients. The ideal candidate will have at least ten years of litigation experience, superior knowledge of court procedures, strong organizational and proofreading skills, and the ability to manage multiple matters with competing deadlines. You will work with exceptional attorneys and legal professionals in a respectful and supportive environment.  You will have the opportunity to work on a hybrid basis in our Chicago office.  This is a wonderful position for a person seeking an opportunity with a well-respected firm. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Exercise independent judgment in determining priority levels of all work to ensure tasks are completed in a timely manner.
  • Prepare, edit, file, and manage litigation documents, including pleadings, motions, discovery, subpoenas, and correspondence, with a high standard of accuracy.
  • Confidently and accurately e-file in state and federal courts.
  • Open new matters, run conflicts checks and set up engagement letters.
  • Manage calendars, court deadlines, depositions, mediations, and trial logistics. Make and prepare travel arrangements and itineraries. Gather and provide pertinent materials from files, Records Department and Legal Information Services.
  • Manage full file lifecycle of client digital and hard files, working with Records Department as needed.
  • Communicate professionally with internal and external clients, courts, and opposing counsel.
  • Manage incoming (not marked personal and confidential) and outgoing mail and emails, coordinating mailings with Office Services, as needed.
  • Use document management and workflow systems to manage work volume efficiently and to assist other Administrative Assistants.
  • Enter and/or release attorneys’ time, if required. Maintain list of all current billing numbers for assigned timekeepers.
  • Prepare and submit expense reports.
  • Answer and screen telephone calls. Assist callers independently and with discretion. 
  • Perform other responsibilities/tasks as requested.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Ten or more years of litigation experience in a mid-side law firm.  Experience in additional practice areas is a plus. 
  • Ability to create complex documents, including TOAs, TOCs, cross-references, and redlines.
  • Knowledge of state, federal and appeal court rules and procedures, including Pacer and ECF filing procedures.
  • Proficiency in Microsoft Office, with advanced Word skills.
  • Proficiency in NetDocs, Intapp, LegalKey, Chrome River, and BigHand (or other similarly related systems).
  • Excellent written and verbal communication skills, with a strong focus on proofreading and accuracy.
  • High level of organizational skills, with ability to multi-task and independently meet deadlines.
  • Ability to deliver superior, professional services to all internal and external clients.
  • Maintain the highest level of confidentiality and discretion regarding client identities, proprietary documents, conversations, and sensitive guest information.
  • Flexibility to work overtime when required.
  • Type 55+ wpm.

The expected compensation range for this position in Chicago is $70,000 - $85,000. The offered salary will be determined by a variety of factors including, but not limited to, work location, individual skill set, previous/applicable experience, education, external market data and consideration of internal equity.
