JOB DESCRIPTION

Job Title: Administrative Assistant

Reports To: Director’s Assistant

FLSA: Non-Exempt


DEFINITION:

Under general direction, this position performs a variety of responsible administrative support work by providing front-line customer service functions along with a variety of clerical support duties for the Company. The incumbent must have outstanding customer service skills and enjoy working with the public; will be expected to complete assignments in observance of established schedules; must be able to work independently, establish priorities and deadlines, understand and follow written and verbal direction, communicate effectively, and establish and maintain cooperative working relationships.

    Establish, develop, maintain and update filing system. Retrieve information from files when needed.

    Tracking CNA’s, testing, and attendance accurately and precisely.

     Answer incoming calls and route; accordingly, greet guests.

    Handle confidential and non-routine information and explain policies when necessary.

    Work independently and within a team on special nonrecurring and ongoing projects; Prioritize and manage multiple projects simultaneously and follow through in a timely manner.

    Provide support to staff as needed.

     Cover the receptionist if they are out on lunch and/or not present.

     Other responsibilities as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

• Strong knowledge of a variety of office programs including Adobe; and all forms of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.

• Must possess good communication skills, including effective phone skills and must be detail oriented.

• Ability to produce quality output within tight timeframes and simultaneously manage several projects.

• Personal Effectiveness/Credibility with staff; thoroughness and attention to detail.

• Interpersonal collaboration skills; the flexibility to quickly shift gears and change tasks.

WORKING CONDITIONS

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is a moderately active role, with a lot of filing. This would require the ability to lift files, open filing cabinets and bend, reach, or stand as necessary.
