Customer Service/Clerical/Secretarial

Summary

Perform a variety of typing, records maintenance and general secretarial work of moderate difficulty in school. Serve as an assistant to assigned guidance counselors and perform related work as required.

 

Essential Duties and Responsibilities include the following:  

 

  • Perform a wide variety of clerical and secretarial work, including typing, proofreading, filing, checking and recording information.
  • Register new students. 
  • Answer the telephone and transfers calls to the appropriate staff members.
  • Answer inquiries concerning standardized policies, procedures, and regulations. 
  • Communicate with a wide variety of staff and community members.
  • Serve as point-of-contact for students entering school counseling.  
  • Maintain confidentiality of students entering school counseling.
  • Type a variety of materials from brief verbal or written instruction.
  • Print, sort and organize report cards and mailings.
  • Prepare honor roll list and send to Central Office. 
  • Update Student Information System. Maintain student files. 
  • File, purge and distribute records, as needed.
  • Perform other duties that may be assigned by the administration, superintendent, or designee.

 

Qualifications

Two years administrative/office experience required. Three years preferred. Additional education may be substituted for years of experience. Experience working with various software applications required.  

 

Education and/or Experience

Required: High School Diploma or GED
Preferred: Two years college or equivalent work experience

 

Language Skills

Exchanges non-routine information tactfully and courteously as appropriate requiring good oral and written communication skills.

 

***This is a 12-month support position.***

 

Reasoning/Other Abilities

Carries out duties and responsibilities with limited supervision. Makes decisions and establishes work priorities on essentially procedure-oriented operations.

 

Physical Demands

Able to walk to all points in the building. Perform minor physical tasks such as lifting and filing. Normal vision and hearing. Ability to clearly communicate orally.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  

 

Work Environment

Work involves exposure to normal everyday hazards.  Work is performed in an office and is subject to deadlines and frequent interruptions.

 

Evaluation

Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
