Position Overview
The Regional Administrative Assistant plays a critical role in driving the success of R360 chapters by partnering with the C-Level Executives to ensure seamless operations and exceptional member experiences. This strategic position oversees all logistical and operational aspects of meetings, from planning and executing high-impact meetings and events to fostering meaningful member engagement and supporting member recruitment efforts.
Combining strategic thinking, organizational expertise, and exceptional interpersonal skills, the Regional Administrative Assistant serves as a central coordination point while building lasting relationships with members to strengthen the community and advance R360's mission.
This role thrives in our fun, fast-paced culture and requires a self-starter mentality with the ability to work independently in a fully remote environment, while traveling for in-person event management as needed.
Key Responsibilities
Strategic Meeting & Event Coordination
- Plan, coordinate, and execute all chapter meetings and events with meticulous attention to detail including scheduling, venue selection, A/V setup, dietary preferences, and attendee tracking
- Build comprehensive presentation decks, digital meeting packets, and detailed agendas featuring member bios, headshots, and R360 benefits materials
- Manage guest speakers and foster strong relationships to ensure impactful presentations
- Partner with Manager to design innovative meeting activities and optimize chapter outcomes
Member Engagement & Relationship Management
- Serve as the primary contact for member inquiries while maintaining active WhatsApp groups and updating CRM systems (HubSpot)
- Coordinate with the Member Engagement team to enhance communication and maintain accurate member databases
- Track attendance, preferences, feedback, and member milestones to ensure timely and meaningful engagement
Candidate & Prospect Development
- Facilitate recruiting efforts by coordinating prospect communications, NDA completion, and due diligence processes
Technology & Administrative Excellence
- Maintain and update CRM systems (HubSpot) with comprehensive member information and event attendance
- Prepare detailed reports, analyze engagement data, and maintain accurate documentation
- Monitor budgets, nurture vendor relationships, and oversee payment processes in partnership with the finance department

Required Qualifications
- Bachelor's degree in Business Administration or related field
- Minimum 5 years of experience as a C-Level Executive Assistant or similar strategic support role
- Strong background in event management and project coordination
- Proficiency in Microsoft Office Suite and CRM platforms (HubSpot experience strongly preferred)
- Outstanding organizational and analytical capabilities with ability to manage multiple priorities and tight deadlines
- Exceptional communication and interpersonal skills with proven ability to build trust across diverse stakeholders
Work Environment
This is a fully work from home position based in the U.S. that requires in-person attendance for event management and occasional travel for meetings, events, and chapter-related activities.
